File and Format
- File Type - Microsoft Word, PDF, or image (JPG, PNG)
- File Name - must not contain any spaces or special characters
- Must be on company letterhead
Content
- Any reference to Effective Date should align with the Cost Change Calendar.
- Clearly states the specific reasons for the cost change
- Example 1: "Cost increases for our products are due to egg and cocoa commodity price increases. Additional increases to the cost of corrugate and packaging, as well as overhead costs including insurance and labor costs are also contributing to the cost increase."
- Example 2: "Our costs have steadily risen over the last 18 months necessitating this cost increase. Specifically, our costs have risen as follows: freight 5%, labor 10%, ingredients 5% and outer (corrugate) packaging 1%."
- Letters without specific detail will be returned for corrections. "Inflation" or "raw materials" as reasons without specific details will be denied.
- Do not include:
- Time since the last cost change (our evaluation will be based on changes evident in our system, not dates provided in the letter.)
- Product list and pricing (This is communicated in Mantis, not in the letter.)
Corrections
If your cost change letter requires edits, the cost change record will be returned for corrections. The email sent from no-reply@gfifoods.com will explain the changes required to the cost change letter.
To resubmit with a new letter:
Upload a new copy of the cost change letter.
On the Summary Tab, click "Correct Cost Change Request"
Click Send.
